Nobody decides to let a bond lapse

In practice there are four causes, and they are all administrative rather than strategic.

1. The invoice went to the wrong address

This is the biggest one by a distance. Sureties bill to the address on the application, which for a business that has moved office, changed office manager or switched email domains once in five years is frequently an address nobody reads. A continuous bond has no expiry date to prompt anyone, so a missed invoice is genuinely silent until the cancellation notice arrives at the agency.

2. The bond date and the licence date drifted apart

At first issue they usually match — you got the bond in order to get the licence. Then one of them renews on a calendar year and the other on an anniversary, or a licence gets renewed for two years while the bond runs annually, and after a cycle or two they are months apart. Everyone tracks the licence date, because that is the one the agency writes to you about. The bond quietly runs on a different clock.

3. The renewal was declined, not missed

Surety is credit. A judgment, a tax lien, a claim paid on another bond, or a bad set of financials can make the carrier decline to renew — and if that is discovered at 20 days out rather than 90, there is no time to shop the bond to a carrier with a different appetite. The lapse is real even though the licensee did everything they were asked.

4. Multi-state licensees lost count

A contractor licensed in four states, a dealer with three locations, a mortgage broker with a dozen state licences — each holds a separate bond with a separate amount, a separate term and a separate notice period. There is no single renewal date to remember, and a spreadsheet maintained by whoever remembers is not a system.

The calendar that actually catches them

StageWhenWhat is actually happening
Re-underwriting~90 days before term endThe surety pulls credit and financials again and prices the renewal. A changed credit picture, a new judgment or a bad year shows up here — which is the whole argument for finding out 90 days out rather than 9.
Renewal premium due~45 days before term endA continuous bond stays in force on payment. Non-payment is the single most common cause of a cancellation filing, and it is almost always an invoice sent to a stale address rather than a decision.
Cancellation notice periodSet by the bond form or the state statute, commonly 30 to 60 days. Read yours — this is the number that decides whether a missed invoice becomes a suspended licence.A surety cannot simply walk away. It cancels by written notice to the state contractor licensing board, and the obligee acts on that notice — the clock is running at the regulator before it is running with you.
Term endThe date on the bondPast this the licence or authority behind the bond is exposed.
ReinstatementAfter lapseGenerally not a late renewal but a new filing: new bond, new application, penalties, and a rate that reflects the lapse. Budget weeks, not days.

Set alerts at 90, 60, 30 and 7 days against the term end — or against the premium anniversary for a continuous bond. Ninety is the important one: it is the only alert that arrives while you still have options if the renewal is declined. Thirty is where most people set their reminder, and thirty days is enough time to pay an invoice but not enough to replace a carrier.

The annual two-minute call

Once a year, call the surety or the producer and confirm three things: the billing address, the billing email, and the current term end. It is the highest-return compliance task available to a small licensee, and almost nobody does it. Most lapses die right there.

Track the bond next to the thing it supports

A bond is never the point on its own — it exists to hold up a licence, a permit or an operating authority. So the calendar has to carry both, plus the insurance certificates and credentials sitting alongside them, or you end up with three systems and confidence in none. That is the whole premise of BondWatch: one list of everything with an expiry date, alerts at 90/60/30/7, and the renewal link attached to each one so acting on the alert takes a minute rather than an afternoon.

Frequently asked

Why do surety bonds lapse?
Four causes dominate: the renewal invoice went to a stale address, the bond date drifted away from the licence date it supports, the surety declined to renew on credit, or a multi-state licensee lost track of one bond among many.

How far ahead should I set a bond renewal reminder?
90 days. That is the only alert that still leaves time to move the bond to another carrier if the renewal is declined or repriced. A 30-day reminder is enough time to pay an invoice but not enough to replace a surety.

Why does my bond expiry not match my licence expiry?
They usually match at first issue and then drift, because the licence and the bond often renew on different cycles — one on a calendar year, the other on an anniversary, and licences are sometimes issued for two years while the bond runs annually.

BondWatch is a renewal-tracking tool, not a surety agency, an insurer, a licensed producer or a law firm. This page describes how surety bond renewal cycles work in general. Bond amounts, required forms, cancellation-notice periods and renewal windows are set by state statute and by the bond form itself and differ by jurisdiction — verify every requirement and every date against your bond, your surety and the agency that holds it before you rely on it.
